No-Show Rate

No-show rate is the percentage of scheduled appointments in a period where the customer neither arrived nor cancelled in advance. It is calculated as no-shows divided by total booked appointments, and it is the primary metric that appointment reminder automation is meant to lower.

Define it before you measure it. A no-show is a booked slot that went unused because the person did not come and gave no notice. A late cancellation (same day, or inside whatever window you set) is usually counted separately, because it is recoverable if you have a waitlist. Track the rate weekly, by clinic or branch, by day of week and by booking channel, since a slot booked by phone on the same day behaves differently from one booked three weeks ahead online.

Why it matters: an empty chair in a dental clinic in Riyadh, a no-show at a property viewing in Dubai, or a missed consultation at a Cairo hospital costs the fixed expense of the slot (the doctor, the room, the staff) with no revenue against it, and it also blocked someone else who wanted that time. Reminders work because most no-shows are forgetfulness or friction, not intent: the person forgot, could not find how to cancel, or did not want to make a phone call to say so.
